🧭 Role Title + Team Context
Role: Director’s Personal Assistant & Administrative Officer
Location: Based in Pai, Thailand
Languages: Fluent Thai & English (spoken and written)
You will support our two foreign Directors in leading the vision and strategy of Pai Seedlings Foundation. Your role includes interpreting, translating, scheduling, and ensuring smooth communication between them and local partners.
As Administrative Officer, you’ll help the whole team by keeping our operations legally compliant, organized, and well-resourced. You’ll also take over key responsibilities in liaising with government offices such as Immigration, Labour Office, Social Welfare, and local municipalities.
This role is ideal for someone who enjoys cross-cultural work, knows admin systems well, and brings clarity and structure to daily operations.
📌 What You’ll Do
As the Director’s Personal Assistant:
- Translate and interpret between Thai and English.
- Manage calendars, meetings, and travel.
- Write and share meeting notes.
- Support communication between Directors and local team or partners.
As the Administrative Officer:
- Handle communication with government offices.
- Manage visa and work permit paperwork.
- Maintain systems on Notion, Google Workspace, Slack, and ChatGPT/Google Gemini.
- Help with supply purchasing and vendor coordination.
- Track monthly bookkeeping with the Director and accountant.
- Keep records organized and up to legal standards.
- Support with research and reporting for projects and grants.

After 1–2 months:
- You’ve built trust with the Directors and team.
- You understand our systems and workflows.
- You’re managing calendars and communications independently.
After 3–6 months:
- You’re handling government paperwork smoothly.
- Admin processes are clearer and more efficient.
- You’ve improved templates, checklists, or documentation.
- You’re the go-to person for team admin support.
After 12 months:
- Admin and legal systems are running reliably.
- You represent the organization confidently with external partners.
- You’ve helped strengthen the team’s rhythm and clarity.
- You’ve shaped the role to meet the needs of our growing foundation.
🧩 Who You Are (What You Bring)
- Fluent in Thai and English, with strong communication skills in both.
- Experienced in administrative management, including official paperwork and liaising with government offices.
- Organized and detail-oriented—you keep things clear, accurate, and on schedule.
- Comfortable working in a cross-cultural environment, and confident bridging communication between local teams and foreign leadership.
- Familiar with Google Workspace, Notion, Slack, and willing to learn new digital tools.
- Most importantly: you have a growth mindset and are willing to learn and grow ownership into this position.
- Discreet, respectful, and professional when handling sensitive or high-responsibility tasks.
- Proactive—you notice what needs doing and take initiative to improve systems or solve problems.
- Based in Pai (or willing to relocate), and aligned with our mission to restore land, culture, and local livelihoods.

📬 Logistics & How to Apply
Start date: January 2026 (flexible for the right candidate)
Contract type: Full-time, based in Pai, Thailand
Compensation: Up to THB 25,000/month (based on experience and local standards, with potential to grow alongside the organization)
